How and When to Access Online Enrolment and Fee Payment
New students: you will be able to borrow books from the Library as soon as you’ve enrolled and collected your ID Card from the Library.
Returning students: you may continue to borrow books; you have 14 days after the start of your course to complete your enrolment, after which point your network and Library accounts will be disabled.

You can enrol on any computer with internet access. If you are on campus you can use a computer in one of our Libraries.
Our Online Enrolment and Fee Payment facility will be available as follows:

International Students MUST attend the International Enrolment Event where documents will be checked before you can enrol. |
Before you can enrol you must have:
- Applied to study at the University of Gloucestershire (or at one of the University’s partner institutions) by completing an application. If you do not complete an application then the University will not know that you are starting a course.
- Accepted the offer of a place to study if required to do so. Many courses (although not all) require students to accept the offer of a place to study. This offer will have been made to you by letter, either direct from the University or from UCAS.
- Met any entry conditions required of you. Entry conditions may be academic (for example, provision of evidence of success in previous studies), or non academic (for example completing a Criminal Records Bureau check). If conditions have not been met, or the University does not know that they have been met, then you will be unable to pay your fees or enrol on your course.

Step 1 - Select a Payment Option
To start you will need to pay all fees due, or make arrangements for the fees to be paid. You are advised to read our Tuition Fees Policy.
You should select Option 1 - Enrolment and Payment if:
- you wish to pay the balance of your tuition fees and enrol
- you wish to enrol - arrangements to pay your fees have already been made by a third party.
- you wish to enrol – your fees have been paid to one of the university’s partner institutions
- you have applied for a Fee Loan to settle your fees and you wish to complete your enrolment.*
* The fee balance will be adjusted as the university receives contributions from third parties (for example sponsors, parents, government funding sources).
You should select Option 2 — Payment Only if:
- you are a student, a sponsor, a parent or a guardian and you wish to contribute toward the payment of tuition fees by credit/debit card.
It is not possible to enrol until arrangements have been made for the payment of all tuition fees.

Step 2 – Accept the Data Processing Consent Notice/Terms and Conditions
By law the University is required to hold personal data securely and we take our responsibilities seriously. We are also required, by law, to report particular aspects of the data we hold about students to government agencies.
We will use your data as described in this Consent Notice and will not release your data to external organisations except those noted and those exempted under the Data Protection Act (1998). Step 3 - Logging On
- Enter your Student Number - (the 7-digit number that can be found on your ‘offer letter’ or the letter about enrolling) in the format: 1234567. If you do not know your student number then email enrolment@glos.ac.uk providing your full name, date of birth and course title.
Remember to note your Student Number as you will need this later
- Enter your date of birth in the format ddmmyyyy

How Your Fees Are Derived
You will be shown the outstanding balance for your tuition fees which you must make arrangements to pay before you enrol. Your fees are derived as follows:
Full-time Undergraduates
The fee displayed for payment will be equal to the annual fee less any contribution made by a another party* (for example government, sponsor*, parent* etc). If you wish to enrol but the university has not yet received a contribution from another party, then simply complete a Direct Debit Mandate for the outstanding balance. Direct Debits can be adjusted / cancelled as necessary and the first direct debit payment will be taken on 9 NOVEMBER 2011 - 5 working days notice will be given. )
Part-time Undergraduates
The fee displayed is based on an assumption that you will take the equivalent of half a full-time programme in your first year, less any contribution made by another party* (sponsor etc). If this assumption is incorrect then please contact the Student Helpzone.
Postgraduate Taught and Research
The fee displayed for payment is the annual course fee less any contribution made by another party Any queries relating to the amount of tuition fee due should be emailed to enrolment@glos.ac.uk

* Payments Made by Third Parties
Parties wishing to make online payment on behalf of students can do so via 'Option 2' at Online Enrolment and Fee Payment.
Sponsors who do not wish to settle fees online should complete a Sponsorship Authorisation Form. This is only available to employing organisations. Full-time undergraduate and PGCE students paying annually - two payments collected 9 November 2011 and 18 January 2012
Postgraduates and all part-time students - Monthly payments from 1 November 2010 (for those students enrolled by 1 October 2011)

Paying by Credit/Debit Card
Complete all details exactly as they appear on your card. ‘*’ indicates a mandatory field. If the card number is entered incorrectly, or the card has expired, you will receive an error message asking you to re-enter valid details.
A completion statement will be displayed together with payment reference numbers for your records. We advise that you print this.

Step 4(ii) - Paying Your Tuition Fees (International Students)
International students have two tuition fee payment options:
- You can pay the full amount before you enrol at the University (please see below).
- You can pay in two instalments:
1st instalment: 50% of your tuition fees to be paid before enrolment (please see below)
2nd instalment: 50% of your tuition fees to be paid by direct debit* on 19th January 2012.
*Please note: You must have a UK bank account in order to set up a direct debit. If you want to pay in two instalments you must agree to open a bank account within seven days of enrolment and provide the International Student Adviser (internationalstudents@glos.ac.uk) with your full account details.

• Quote the student’s name and student number on all payments made through the bank.
• Note that you are responsible for all processing charges made by the banks.
• Send a copy of the remittance to the International Fee Administrator at the address below and bring a copy with you to the UK.
- By credit or debit card
If you want to pay by credit or debit card you can either make the payment online or by telephoning the Income Team on +44 (0) 1242 714222. It can sometimes be difficult to make payments online from overseas as the banking system has strict controls in place, so you might prefer to pay by bank transfer as outlined above.
If you wish to pay by credit/debit card then select this option and complete all details exactly as they appear on your card. ‘*’ indicates a mandatory field. If the card number is entered incorrectly, or the card has expired, you will receive an error message asking you to re-enter valid details.

If you have sponsorship, for example from your government, you must send an official letter from your sponsor as evidence of this to the International Fee Administrator at the above address. If we do not receive this letter, you will be charged the full fees yourself.
If you cannot pay your tuition fees before you arrive in the UK
Induction Week is a very busy time at the University, so the best option is to pay your tuition fees before you arrive. If this is not possible, please bring a bankers draft in Pounds Sterling made payable to ‘University of Gloucestershire’ with you. This can be paid in directly at the Finance Office on Park Campus or to a member of the Finance Team at the International Enrolment Event during Induction Week. You will then be able to complete the enrolment process.

Step 5 - Enrolling on Your Course
When you have paid your fees, or made appropriate arrangements to pay them, you can enrol on your course. You should enrol within two weeks of the start of your course.
Please check your details and change them if you need to, paying particular attention to mandatory information.

Make sure you check:
- Your name is spelt correctly. This will be the name that appears on your final award certificate
- Your home and contact address details. We write to you at your contact address
- Your mobile and landline numbers and email address
- Who to contact in an emergency
- Your course details
You can’t change the fields shown in blue but can edit all the other ones. If you see something which is wrong in blue then please email enrolment@glos.ac.uk with your amendments. Please enter Corrections in the Subject bar of your email. It may take a little while for the change to be made, but don’t let that stop you from enrolling now. |
Bank Details for Receipt of Bursaries Only
You can submit your bank details so that any bursaries you may be entitled to can be paid directly into your bank. The university will contact you before any such payments are made.
Bursaries could be paid every year so long as you remain eligible, therefore, it’s important that you remember to maintain these details throughout your course and amend any changes to your bank account details online. This can be done via Student Records Online.

Your Certificate of Enrolment
Your Certificate of Enrolment is proof you’ve enrolled with us so be sure to print it out and keep it somewhere safe. We will also send a copy of your Certificate of Enrolment to your student email account - you should save this. To access your email account you will need to set up your University Network Account.
Remember to make sure you have your certificate available as you must produce this when you collect your University Identity (ID) Card and National Union of Students (NUS) Card. You can also submit it to your Local Authority as proof of student status for Council Tax exemption purposes.
You should now set-up your University Network Account and then Apply for Your University Identity Card.
